Service Support Officer(s)

Location: Crediton (Mid-Devon) HYBRID

Salary: £24,500-£28,500 DOE + opportunity to shape and grow a young organisation

Hours: Full-time or/and Part-Time

Start Date: ASAP 


The Service Support Officer plays a crucial role in ensuring the smooth and effective operation of EPIC Family CIC services. The role provides essential administrative, organisational and communication support to those accessing services, foster parents, staff and partner professionals. 

Working collaboratively with internal teams and external organisations, the Service Support Officer helps ensure that information is managed accurately, communication is effective, and services are well coordinated, enabling the needs of individuals and the organisation to be understood and met.


Key Duties & Responsibilities

Administrative & Operational Support

  • Provide efficient administrative support across all EPIC Family CIC services.
  • Manage incoming enquiries via phone, email and other communication channels, responding appropriately or signposting as required.
  • Support the coordination of appointments, meetings and events, including diary management and room bookings.
  • Assist with the preparation, formatting and distribution of documents, reports and correspondence.
  • Record minutes at meetings
  • Process documentation in line with Safer Recruitment – Enhanced DBS etc

Supporting Service Users, Foster Parents & Staff

  • Act as a first point of contact for individuals accessing support, foster parents and professionals, ensuring a courteous and supportive response.
  • Provide practical information and guidance about EPIC services, referring queries to appropriate team members when needed.
  • Support staff with administrative tasks to enable the effective delivery of services.
  • Help maintain positive, professional relationships with external organisations and partner agencies.

Recording, Data & Information Management

  • Maintain accurate, clear and up‑to‑date records in line with EPIC Family CIC policies.
  • Support data collection, monitoring and reporting requirements.
  • Ensure confidentiality and data protection standards are upheld at all times.

Safeguarding, Policies & Professional Standards

  • Promote a safe and inclusive environment for children, young people, families and staff.
  • Be aware of safeguarding responsibilities and report any concerns in line with EPIC policies and procedures.
  • Work in accordance with EPIC Family CIC values, organisational policies and relevant regulatory and legal requirements.

Teamwork & Organisational Contribution

  • Work collaboratively as part of the EPIC Family CIC team.
  • Contribute to continuous improvement by identifying opportunities to improve administrative processes.
  • Demonstrate professionalism, reliability and a commitment to EPIC’s community‑focused ethos.


Person Specification

Experience & qualifications

-   GCSEs or equivalent in English and Maths (essential).

-   Willingness to undertake further training relevant to the role.

-  Experience of working in an administrative or office‑based support role.

-  Experience of providing high‑quality customer or service user support.

-  Understanding of the importance of confidentiality, data protection and accurate record‑keeping.

-  Awareness of safeguarding responsibilities when working within children’s or family services (or willingness to learn).

Skills & Abilities

-  Strong organisational skills with the ability to manage multiple tasks and priorities.

-  Clear and professional communication skills, both written and verbal.

-  Ability to engage positively with a wide range of people, including those accessing support, foster parents, staff and external professionals.

-  Good IT skills, including the use of email, word processing, databases and spreadsheets.

-  Ability to work accurately with attention to detail.

-  Ability to work both independently and as part of a team.

Experience & Knowledge

-  Experience working within a fostering, children’s services, social care or community organisation.

-  Experience of supporting multi‑agency or partnership working.

-  Knowledge of safeguarding policies and procedures within regulated services.

Additional Skills

-  Experience of supporting meetings, minute taking or report preparation.

-  Confidence in handling sensitive or emotionally challenging enquiries appropriately.

-  Experience of contributing to service improvement or administrative process development.

Voluntary work is part of our vision to ensure we offer opportunities to those who can add value to the work that we do to support vulnerable children and their support network. Having voluntary work on your CV can enhance your opportunities and is often seen as an additional strength to your continued professional development and training. Voluntary roles come in all shapes and sizes, some very structured, and other voluntary roles are much more flexible and adaptable to meet the needs of all concerned. Finally, taking on a voluntary role can often lead to excellent further paid career opportunities within our organisation, as well as being seen as something that is done for kindness and 'a sense of ‘giving something back’.


We have various voluntary ideas and roles available, and are open to new ideas - so if you’d like to get involved, do contact us.

Some of the roles were have available are (and not limited to):

Directors to develop different area’s of the organisation - Whether an interest in home schooling, fostering, advocacy, mentoring, alternative provision, we are open minded to how our organisation will develop a full range of wrap around services to support our South West service users.


  • Advisory Board Members 
  • Advocate - You will have experience of working with vulnerable children with a passion for making sure a young person’s voice is heard.
  • EPIC Listener - You will be experienced in supporting vulnerable children or/and those who support them. You may have experience in supporting vulnerable adults.
  • Counsellors/Therapists - You may be interested in supporting young people or adults, or both.
  • Social Workers - You may be interested in supporting foster parents, or assessing newbies, or perhaps you’d like to join our advisory board.

The Role

As our Registered Manager, you will be the driving force behind our operational success. You’ll lead with warmth, expertise, creativity, and compliance—ensuring our service not only meets regulatory standards but exceeds expectations for the children, young people, and families we support.


Key Responsibilities

  • Statutory Compliance: Act as the Registered Manager, ensuring adherence to Fostering Regulations (e.g., England 2011) and National Minimum Standards, managing Ofsted inspections and reporting (like Regulation 35).
  • Strategic Leadership: Drive the agency's vision, achieve business targets, and develop innovative strategies for growth and service improvement.
  • Team & Service Management: Lead, manage, and motivate a multidisciplinary team, ensuring effective supervision and development.
  • Fostering Oversight: Oversee recruitment, assessment, training, and ongoing support/supervision of foster parents.
  • Safeguarding & Child Welfare: Lead on all safeguarding matters, ensuring the welfare of children is paramount, and monitoring care plans and outcomes.
  • Stakeholder Relations: Build strong partnerships with Local Authorities, schools, and other agencies, attending meetings and negotiating contracts.
  • Quality Assurance: Implement continuous improvement, monitor service quality, conduct audits, and manage complaints/incidents. 


Core Duties Include

  • Developing and implementing operational plans.
  • Managing budgets and resources.
  • Ensuring staff receive regular supervision and training.
  • Monitoring and recording outcomes for children. 


Required Skills & Experience

  • Leadership & management experience in social care.
  • Strong knowledge of fostering regulations and safeguarding.
  • Ability to work under pressure and demonstrate empathy.
  • Social work qualification and a Level 5 Diploma in Leadership and Management or willing to work towards the L5 qualification.
